Client document requirements

Listed below are the requirements for registering a vehicle into the name of various types of customers.

If a vehicle is to be registered to a Federal, Victorian, or Local Government Department, an electronic Purchase Order is required bearing the:

  • confirmed client ID number
  • registration date, expiry date, garaging Address and all other instructions.

If a vehicle is to be registered to a Federal, Victorian, or Local Government Department, where the order is not placed through a fleet provider, a confirmed VicRoads Client Number is required, or:

A confirmed VicRoads Licence/Permit or Client Number is required.

Private individuals who cannot supply a Victorian Photo Licence/Permit or Client Number are required to provide full evidence of identity requirements.

If a vehicle is to be registered to a Company or an Incorporated Body, the following items are required to confirm the identity of the Company:

  • a confirmed VicRoads Client Number
  • a Public Document (purchase order, letterhead, business card) issued by the company, bearing the Name, Address and Australian Company Number (A.C.N.)

or

  • a Certificate of Registration of a Company or a Certificate of Incorporation and evidence of address

The agent/company representative must provide a category A or B evidence of identity document. See the evidence of identity requirements.

Hospitals

All four categories of hospitals in Victoria are incorporated bodies under some legislation or other.

Category 1 – Public hospitals (both regional and rural) and metro hospitals (in the metro area) are public statutory bodies, established and incorporated pursuant to the Health Services Act 1958

Category 2 – Catholic (denominational) hospitals are incorporated under national corporations law

Category 3 – Privately operated public hospitals are incorporated under corporations law

Category 4 – Private hospitals are incorporated under corporation’s law.

Councils

Councils are incorporated bodies in accordance with section 5 of the Local Government Act 1989.

Trade Unions

Trade unions are incorporated bodies in accordance with the Workplace Relations Act 1996.

Groups

The Scout Association of Australia, Victorian Branch, is a body incorporated by Royal Charter and by Act of Victorian Parliament (the Boy Scouts Association Act No. 4092 as amended by the Scout Association Act 1983).

Vehicles registered to Scout groups should be in the name of: The Scout Association Of Australia Victorian Branch.

These Bodies must provide a copy of:

  • a confirmed VicRoads Client Number, or
  • the relevant act as proof of Incorporation with evidence of address.

If a vehicle is to be registered in the name of another Person or Company, the following items are required:

  • a confirmed VicRoads Licence/Client Number
  • a Public Document issued by the company, bearing the Name, Address and Australian Company Number (A.C.N.)

or

  • a Certificate of Registration of a Company or a Certificate of Incorporation and evidence of address.

If a vehicle is to be registered in the name of a Leasing Company, one of the following items is required:

  • An electronic Purchase Order from the Leasing Company bearing the confirmed client ID number, registration date, expiry date, garaging Address an all other instructions.
  • If claiming a Motor Vehicle Duty exemption, the name of the Government Department must appear on the electronic order form.

Note: No Dealer Online authority to register form is required.

If a vehicle is to be registered in the name of a Charitable Benevolent or Religious Institution the following items are required:

  • A VicRoads letter of approval bearing the confirmed VicRoads Client Number.
  • The vehicle must be registered in the name of the institution and marked with its name.

The Vehicle must be registered in the name of a Nominee:

  • The Nominee must provide their own current Victorian photo ID Licence/Client Number or satisfy full evidence of identity requirements.
  • A Certificate of Authenticity must accompany the application to register if an exemption from registration and stamp duty fees is to be granted.

If a vehicle is to be registered to a Trust which is an Incorporated Body, the following items are required to confirm the identity and incorporation status of the Trust:

  • a confirmed VicRoads Client Number
  • the original Deed of Trust

or

  • the Nominee must provide their own current Victorian photo ID Licence/Client Number or satisfy full evidence of identity requirements.
