Number plate process

Information for dealers on the process to follow when changing number plates, reissuing a number plate from one vehicle to another and issue number plates out of sequence.

There is a process to follow when removing number plates from a trade-in vehicle and holding them for reissue to another vehicle registered in the same name or to replace damaged, lost or stolen number plates.

Please follow these instructions:

  • Get a Dealer Online authority to register form completed and signed by the registered operator.
  • Confirm ownership of the trade-in and its number plates through the dealer help desk.
  • If the new vehicle is to be registered to a different name to the owner of the number plates, discuss the options with the dealer help desk.
  • Select the next pair of number plates in your stock.
  • Complete the Number Plate Orders form.
  • Place the number plate bar code in the space provided at the top of the form.
  • Record the new number plates, trade-in number plates and expiry date details in the spaces provided at the top right-hand corner of the form.
  • Complete the personal details (name, address) of the current owner of the vehicle.
  • Tick the correct type of number plates (car, motorcycle, trailer).
  • Complete the details of the trade-in vehicle (make, vehicle type, serial number and engine number).
  • Tick the box to retain the number plates (to have the plate recorded as held for re-issue to the new vehicle).
  • Tick box number 5 (Change of Number) and enter the required fee.
  • Have the owner of the trade-in vehicle sign in the field provided.

  • Number plate change requests can take up to 48 hours from the day the request is made to be processed

There is a process to follow when a dealer transfers number plates from one vehicle to another registered in the same name, or to re-issue number plates (held for re-issue) to a new vehicle registered in the name of the owner of the number plate.

Please follow the below steps:

  • Get a Dealer Online authority to register form completed and signed by the registered operator.
  • Confirm ownership of the number plates through the dealer help desk.
  • If the new vehicle is to be registered to a different name to the owner of the number plates, discuss the options with the dealer help desk.
  • If the number plates are to be re-issued to a currently registered vehicle, complete the Number Plate Orders form.
  • Record the number plates and expiry date details in the spaces provided at the top right-hand corner of the form.
  • Complete the personal details (name, address), of the current owner of the vehicle.
  • Tick the correct type of number plates (car, motorcycle, trailer).
  • Tick box number 3 (Assignment of Plates), and include the required fee.
  • Have the owner of the number plates sign in the field provided.

Please note:

If the number plates are to be re-issued to a new vehicle, Dealers may process this transaction by ticking the “Re-issue box” on the Dealer on Line new registration screen. The number plate Orders form is not required.

There is a process to follow to hold number plates for future issue out of sequence (reservation) or to issue number plates other than a plate in the box currently in use.

Please follow these steps:

  • Get an Dealer Online authority to register form completed and signed by the registered operator.
  • Complete the Number Plate Orders form as follows (see example).
  • Record the number plate details in the space provided at the top right-hand corner of the form.
  • Complete the personal details (name, address) of the owner of the vehicle that the number plates will be attached to.
  • Tick the correct type of number plate (car, motorcycle, trailer).
  • Tick box number 8 (Out of Sequence Plate) and enter the required fee.
  • Have the owner of the vehicle sign in the field provided.
  • Email the completed form to [email protected].
  • The dealer team will contact you to process the payment.

Please note:

Payment of the “Out of Sequence Plate” fee secures the ownership of the number plates for the applicant. These plates are then considered to be the same as Custom or Personalised number plates. When issuing these number plates to a new vehicle, number plate issue fees apply.
